Document Automation Specialist - Law - London

An international law firm with a UK office in the City of London is seeking a Document Automation Specialist who deliver document automation services to an assigned practice area and support on the definition of needs and development of new technology solutions. The successful candidate will demonstrate a diligent approach to the translation of legal requirements into code and hold responsibility for populating documents with accurate data and in accordance with the firms formatting and visual styles.

The primary responsibilities and objectives in this Document Automation Specialist requirement include, but are not limited to:

  • Organise the preparation, cleaning, and styling of legal documents for automation, working closely with the firm’s Document Production Specialist.
  • Analyse and translate requirements into clear, logical frameworks for automated templates.
  • Design logic to insert different outputs into documents based on pre-defined scenarios, including manual programming for complex requirements.
  • Use Avvoka (or other interfaces) to programme templates for various REF legal document outputs.
  • Develop and maintain consistent classification for functions, code attributes, and conditions.
  • Implement efficient and reusable code for legal document automation, prioritising clarity and maintainability.
  • Assist in developing looped functions to automate repetitive drafting tasks within templates.
  • Apply conditional formatting statements meticulously in scenarios requiring manual application.
  • Debug and analyse legal document outputs against requirements, testing at unit, pack, and system levels.
  • Develop and maintain system-wide libraries to standardise and optimise the efficiency of the automation system.
  • Maintain a strong understanding of the codebase to support efficient updates and future development, ensuring adherence to automation and document standards.
  • Prepare and store template comparisons to document changes and assist with version control, working with the secretarial team or others as necessary.
  • Collaborate with the secretarial team and others to update materials, ensuring consistency with automated templates and focusing on data accuracy and visual formatting requirements.

To be a suitable candidate for this Document Automation Specialist, the following skills and experience are required:

  • Previous experience working in legal document production and ideally wider experience of document automation
  • Familiarity with computational thinking gained through qualification or previous experience.
  • Proficiency in MS Office suite including Excel, Access and an advanced knowledge of MS Word functionality 
  • Experience of using iManage, Share Point, HighQ and other legal technologies is highly desirable.
  • Highly developed time management, organisational and stakeholder management skills.
  • Detail-oriented in legal writing and legal document formatting, with the ability to maintain focus and accuracy during repetitive tasks.
  • Demonstrable logic and problem solving skills.
  • An interest or previous experience aligned to Real Estate would be highly desirable, but is not a pre-requisite
  • A collaborative approach to peers, stakeholder groups and other functions
