Records Management Assistant - Law / Liverpool - 12 Month FTC
A leading international law firm has a 12 month fixed term requirement for a Records Management Assistant who will be a part of a wider information services team and be based out of their Liverpool office. This person and the records management team as a whole, is responsible for the day to day management of
physical files, central filing locations and working with external archiving service suppliers. It is a role that would suit someone with some similar records management experience, or equally a strong administrator who would enjoy the challenge of working in a large law firm. It is a fixed term contract of 12 months.
The principal responsibilities and objectives of the role are as follows:
- Answering queries and arranging retrieval of files from archive
- Moving physical files in and out of storage
- Promoting a paperless office drive including scanning and destruction of documents
- Working with a file asset management system (File Tracker) creating or amending file records, retention periods and generating barcodes
- Sending and retrieving files from central storage locations, and our 3rd party
- The creation of e-files through scanning to the document management system and destruction of physical files
- Destroying files which have achieved their retention period
- Managing central file storage locations to ensure accurate location of stored files
Suitable candidates for this Records Management Assistant role will need the following:
- Highly developed office administration skills preferably obtained in a professional services or regulated environment
- Strong IT skills in particular with MS Word and Excel
- Demonstrable skills in accuracy and attention to detail
- The ability to work as part of a team to achieve productivity targets
- An understanding of confidentiality and security of files
- Scanning and reprographics experience, working with files as assets and some familiarity with databases would be extremely beneficial, but are not an essential requirement
