Fab opportunity! Assistant Business Systems Manager, One year contract!

A central London based professional services firm requires an Assistant Business Systems Manager   to provide administration, information management and project support to the firm and its extended partner network.  This role utilises a variety of technical products and systems, but the focus of the role is the content and giving access to documents and information.  

Main responsibilities include:

  • Acts as a point of administrative contact for information exchange between project teams, external consultants, main contractors and the wider supply chain
  • Developing professional relationships and working collaboratively with internal and external stakeholders
  • Provides face-to-face, email and telephone support
  • Monitors shared mailboxes as required
  • General administration duties to include, but not limited to, word-processed, spreadsheets, reports, meeting minutes, PowerPoint, presentation materials, draft emails, letters and other documents
  • Programme workshops for training and launch of new systems
  • Reporting and analysing usage data of IM Systems
  • Managing Storage and Archiving
  • Technical support with upgrades to CRM, assessing the impact on all existing IM/IT systems during deployment
  • Management and processing of Information Systems team invoices and setting up purchase orders, liaising with the Accounts department and consultants as required
  • Maintains and monitor contracts register, flagging to relevant Business Systems Managers when contracts are due for renewal

To be considered for this role you will need the following skills and experience:

  • An information related qualification (IT, Information or Records Management) desirable
  • Good general IT experience and skills are beneficial
  • Experience of project extranet systems and understanding of carrying out administrative functions including the running of a project site, adding and removing users and user rights permissions
  • Experience of SharePoint and Microsoft CRM Systems
  • A team player with a flexible attitude and adaptable in day-to-day activities, with a ‘hands on’ approach
  • Excellent communication and interpersonal skills to work effectively in a team environment
  • Well organised with the ability to work under pressure to meet tight deadlines
  • Self-motivated and ability to work on own initiative
  • Good telephone manner and ability to project a professional image to visitors and callersGood Business writing skills to draft outgoing correspondence
