Records Management (RM) or Information and Records Management deals with the management of records through their life cycle from creation and special access through to disposal or preservation. It involves the procedures and processes for identifying, classifying, storing, sharing, securing, retrieving, tracking and destroying or permanently preserving an organisation’s records which may be subject to legislation such as the Public Records Act, The Freedom of Information Act 2000 (FOIA), Environmental Information Regulations (EIRs), General Data Protection Regulation EU 2016/679 (GDPR) and Data Protection Act 1998. Recorded information includes printed documents, computer files, letters, emails, photographs, and sound or video recordings. An electronic document and records management system (EDRMS) is an automated software application designed to assist with the management of information and records.

Information governance is the set of multi-disciplinary structures, policies, procedures, processes and controls implemented to manage information across an organisation supporting their regulatory, legal, risk, environmental and operational requirements.  It includes the creation of fileplans, retention schedules, accessibility of documents through password protection and security protocols for the protection of sensitive information.

Archivists manage records that have enduring value as memories of the past. They are predominantly concerned with records deemed worthy of permanent preservation, whereas records management is more concerned with records of current administrative importance.
